Search Your Orders Like a Pro: Filter by State, Combine Terms, and More
October 4, 2026 · Tim Schmidt
The search box on your orders table does more than match a name or email. Here's how to find exactly the orders you're looking for.
The basics
Type a word and press Enter. Search runs when you press Enter, so you can finish typing a longer query without the table reloading under you. To clear a search, delete the text and the full list returns right away.
Plain searches check order number, customer email, billing name, product names, variant options, customizations, and the billing and shipping state.
Search by state
Type a state code like MN and press Enter. You'll see every order where either the billing state or the shipping state is Minnesota.
Plain text matches partial values, so a short code can pick up extra results, such as an email address that happens to contain those letters. The next two tricks fix that.
Billing or shipping, your choice
Add a prefix to search only one of the two:
billing:MNfinds orders billed to Minnesotashipping:MNfinds orders shipped to Minnesota
This is handy when a customer in one state sends a gift to another.
Exact matches with quotes
Wrap a term in double quotes to match the whole value exactly:
"IA"finds orders with a state of exactly IAshipping:"IA"finds orders shipping to exactly IA
Quotes can also hold spaces, like "john smith".
Combine terms
Match several things (AND). Separate terms with a space and an order must match all of them:
billing:MN shipping:IA
This finds orders billed to Minnesota that are shipping to Iowa.
Match any of several (OR). Put the word OR in capital letters between two terms:
billing:MN OR shipping:MN
This finds orders where either state is Minnesota.
List several values. Separate values with commas:
billing:MN,FL,IA
This finds orders billed to Minnesota, Florida, or Iowa.
You can mix them: billing:MN,FL shipping:IA finds orders billed to Minnesota or Florida that are shipping to Iowa.
One thing to know about Oregon
OR is both the operator and Oregon's state code. A lone OR is treated as a search for Oregon, so searching OR works. If you combine it with other terms, use billing:OR or "OR" to be explicit.
Quick reference
| To find… | Type |
|---|---|
| Orders in a state (billing or shipping) | MN |
| Billing state only | billing:MN |
| Exact match | "MN" |
| Both conditions | billing:MN shipping:IA |
| Either condition | billing:MN OR shipping:MN |
| Any of several states | billing:MN,FL,IA |
Sorting by state
If you've added the State (Billing) column to your table, click the header to sort. States now sort alphabetically across all of your orders, not just the page you're looking at. The same goes for the shipping state and the other address columns.
